Setup and help
Set up a question
- Put your choices in one column of a Google Sheet. Row 1 can be a header.
- Open your form, click the puzzle-piece icon (Add-ons), and pick Audeza Choice Sync > Open.
- Click Link a question. Pick the question, then the spreadsheet, the tab and the column.
- Click Save and sync. The question now has the column's values as choices.
Supported question types: dropdown, multiple choice, checkboxes, multiple choice grid rows and checkbox grid rows.
When does it sync?
- After every form submission.
- Every hour.
- When you click Sync or Sync all now in the sidebar, or Sync now in the add-on menu.
Google doesn't let a form add-on watch a different file for edits, so sheet changes show up at the next hourly run or submission. Click Sync after a big edit if you need it live right away.
How values are cleaned
- Blank cells are skipped.
- Repeated values appear once, in the order they first appear.
- Extra spaces are trimmed. Values longer than 500 characters are cut.
- Values are taken as displayed in the sheet, so dates and numbers keep their formatting.
- If the column ends up empty, the sync stops and the form keeps its old choices. A question is never wiped because of an empty sheet.
Moving columns
If row 1 is a header, the link remembers the header text. Move the column and the next sync finds it by name and updates the link. Rename or delete the header and the sync fails with a clear message instead of reading the wrong column.
Limited slots (choice eliminator)
Turn on Remove a choice once it has been picked enough times. Each choice can be picked once by default. Set a different number, or point to a column with a limit per row (for example, 12 seats for one workshop and 30 for another). A limit of 0 hides the choice.
When every choice is taken, the question shows one placeholder choice ("All options are taken" by default) because Google Forms requires at least one. You may also want to close the form at that point.
Deleting a response frees its slot at the next sync. Two people submitting in the same second can both get the last slot, because Forms doesn't lock choices while someone fills the form.
Limits work on dropdown, multiple choice and checkbox questions, not grids.
Run log and alerts
The sidebar shows the last runs: updated, no change, failed or skipped, with the reason. When a sync fails, the person who set up auto-sync gets an email. You get at most one email per question and error per day.
Fixing permissions
Google lets you untick individual permissions when you authorize an add-on. If one is missing, syncing stops. The sidebar shows a red Permissions missing box with a Fix permissions button. Click it, tick every box, then click I did it, check again.
If a spreadsheet becomes unreadable (403), edit the link and pick the spreadsheet again. The add-on only has access to files you picked, so a copied or replaced file needs to be picked once.
Several editors
Links and the run log belong to the form, so every editor sees them. Auto-sync runs under the account of whoever set it up. If that person leaves, another editor opens the sidebar and clicks Turn on auto-sync.
Limits
- Free plan: 3 linked questions per form. Pro: no limit.
- Google caps add-on runtime per account per day (90 minutes for personal Gmail, 6 hours for Workspace). A normal sync takes a second or two.
- Google limits personal Gmail accounts to 100 email recipients a day for scripts, which caps the alert emails.
Billing
Buy Pro with the Google account you use in Forms. If you paid with a different email, write to support@audeza.com and we'll move the license. The domain plan covers every account on your company domain (not gmail.com or other public email providers). Cancel any time from the link in your receipt email. You keep Pro until the end of the paid period.
Uninstalling
Remove each link in the sidebar to stop syncing that form, or remove the add-on from Google Forms (Add-ons > Manage add-ons) to stop it everywhere. The question keeps its last choices.
